Legal Notice

This website, accessible at https://www.novali.ai (hereinafter "the Site"), is published by Novali AI Inc. By accessing the Site you acknowledge the publisher, hosting, intellectual-property and governing-law information set out below.

1. Publisher

Company name: Novali AI Inc.
Contact email: contact@novali.ai

2. Hosting provider

The Site is hosted on Google Cloud Platform, operated by Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA, phone: +1 650-253-0000. Static assets and content delivery are served by the same provider. Application data is stored in Google Cloud Firestore and Cloud Storage in EU and US regions, with encryption in transit and at rest.

3. Intellectual property

All content published on the Site (texts, images, videos, logos, graphics, source code and any other material) is the exclusive property of Novali AI Inc. or its partners, unless otherwise indicated. The AI coach personas (including "Ali"), the underlying fine-tuned models, our software, designs and brand assets are owned by Novali AI or its licensors. Any reproduction, distribution, modification or partial or total reuse of this content, by any means, without prior written authorisation from Novali AI, is strictly prohibited and may result in civil and criminal proceedings.

The Site may contain hyperlinks to third-party websites. Novali AI has no control over these external sites and cannot be held liable for their availability, content, security or any damages resulting from their use. The presence of an external link does not constitute endorsement of the linked site.

5. Governing law & jurisdiction

This Legal Notice, together with the Terms of Use, Privacy Policy and Cookie Policy below, is governed by the laws of the State of Delaware, United States, without regard to conflict-of-law principles. In the event of a dispute and failing an amicable resolution, the competent courts of the State of Delaware shall have exclusive jurisdiction — except where mandatory consumer-protection laws of your country grant you additional rights.

Terms of Use

These Terms of Use govern your access to and use of the Novali AI platform — the website, the AI coaches (collectively "Ali") and the expert-onboarding workspace — operated by Novali AI Inc. ("Novali AI", "we", "us"). By accessing the service you agree to be bound by these Terms.

1. Eligibility and accounts

The service is intended for professional use. You must be at least 16 years old and provide accurate, complete and up-to-date account information. You are responsible for safeguarding your credentials and for activity carried out under your account, including any expert content (CVs, knowledge documents, coach prompts) you submit.

2. Acceptable use

You agree to use Novali AI only for lawful purposes and not to upload content that is unlawful, infringing, defamatory, contains personal health information about third parties without authorisation, or attempts to extract training data, reverse-engineer the AI coaches or circumvent our safety guardrails.

3. Expert content & licence

When you upload your CV, knowledge documents or interact with an AI coach, you retain ownership of your content. You grant Novali AI a worldwide, non-exclusive, royalty-free licence to host, process and use that content solely to provide the service to you and (where applicable) to the organisation that licenses you. Novali AI does not train AI models on your content.

4. Novali AI intellectual property

The platform, the AI coach personas (including "Ali"), the underlying models we fine-tune, our software, designs, logos and audio assets are owned by Novali AI or its licensors. Nothing in these Terms transfers any intellectual-property right to you beyond the limited right to use the service.

5. Availability and accuracy

We work hard to keep the service reliable and the coach outputs grounded in your expert knowledge base. However, AI coach responses are informational and do not replace professional advice in regulated domains (healthcare, legal, financial). Always verify before acting on a coach’s output in a regulated context.

6. Limitation of liability

To the maximum extent permitted by law, Novali AI is not liable for indirect, incidental, special, consequential or punitive damages, or for any loss of profits, revenues, data or goodwill arising out of or in connection with your use of the service. Our aggregate liability for any claim shall not exceed the fees you paid to us in the 12 months preceding the claim.

7. Suspension and termination

We may suspend or terminate your access if you breach these Terms, if your use of the service threatens its integrity, or as required by law. You may delete your account at any time from /profile/details; on deletion we follow the retention schedule described in the Privacy Policy.

8. Governing law

These Terms are governed by the laws of the State of Delaware, USA, without regard to its conflict-of-laws principles. Courts located in Delaware have exclusive jurisdiction for any dispute, except where consumer-protection laws in your country grant you additional rights.

9. Changes to these Terms

We may revise these Terms; the version date at the top of this page always reflects the current version. Material changes are notified in-app or by email at least 14 days before they take effect.

Privacy Policy

This Privacy Policy explains what personal data Novali AI collects, how we use it, with whom we share it, and the rights you have over your data. It applies to the website, the AI coach interactions and the expert onboarding workspace.

1. Data we collect

Account data you provide (name, email, organisation, country); expert content you submit (uploaded CV and knowledge documents, expertise tags, institutional affiliations); coach interactions (your prompts, audio if you use voice mode, the coach’s responses); technical data we collect automatically (IP address, browser, device type, pages visited, error logs, timestamps); audience-measurement data collected through Google Analytics, only if you accept analytics cookies (see the Cookie Policy). We do not knowingly collect data from people under 16.

2. How we use your data

Provide and operate the platform; authenticate you; personalise the coach to your role, expertise and language; respond to your support requests; communicate service-related updates (we ask for separate consent before sending marketing); detect abuse, prevent fraud and meet our legal obligations.

For users in the EU we rely on: contract performance (operating the service); legitimate interest (security, fraud prevention, product improvement that does not impact your privacy); consent (analytics cookies, newsletter and marketing emails, voice processing, model improvement); and legal obligation (tax, accounting, court orders).

4. Sharing and sub-processors

We never sell your personal data. We share data only with service providers acting on our behalf, under data-processing agreements and confidentiality obligations: Google LLC and Google Ireland Limited (hosting and infrastructure on Google Cloud, sign-in through Firebase Authentication, and audience measurement through Google Analytics — the latter only if you accept analytics cookies); Mailchimp, a service of Intuit Inc., USA (newsletter delivery, if you subscribe); Calendly LLC, USA (demo scheduling on our contact page: the name, email address and answers you give, if you book a demo); and our email-delivery and error-monitoring providers. A current list of sub-processors is available on request at privacy@novali.ai.

5. Retention

Account and expert content: retained while your account is active and for 90 days after deletion, then purged from primary storage. Backups: rolled off within 35 days. Coach interaction logs: 24 months unless legal or regulatory obligations require longer. Google Analytics data (collected only if you accept analytics cookies): kept by Google for 14 months, the Google Analytics 4 default retention period, unless you withdraw your consent earlier.

6. International transfers

Novali AI is incorporated in the United States with operations in the European Union. Data may be processed in either jurisdiction. Our processors Google LLC (hosting, Firebase Authentication, Google Analytics), Intuit Inc. (Mailchimp newsletter) and Calendly LLC (demo scheduling) are established in the United States, so your data may be transferred there. For transfers out of the EU/UK we rely on the EU Standard Contractual Clauses and supplementary measures (encryption in transit and at rest, access controls).

7. Your rights

Depending on your jurisdiction (GDPR for the EU/UK, CCPA for California, similar regimes elsewhere) you have the right to access, rectify, erase, restrict the processing of, port and object to the processing of your personal data. Where processing is based on your consent, you can withdraw it at any time without affecting the lawfulness of processing carried out before the withdrawal; for analytics cookies, use the "Cookie settings" link in the site footer. You can also lodge a complaint with the French supervisory authority, the Commission Nationale de l’Informatique et des Libertés (CNIL), 3 place de Fontenoy, TSA 80715, 75334 Paris Cedex 07, France (www.cnil.fr), or with your local supervisory authority. Email privacy@novali.ai to exercise these rights — we respond within 30 days.

8. Security

For the services Novali AI hosts on Google Cloud, data is encrypted in transit (TLS) and at rest (Google Cloud’s default encryption), and access is restricted to the people who need it. Dedicated and on-premises deployments for enterprise customers are covered by the security terms of the customer’s contract and data processing agreement. If a personal-data breach affects you, we notify the competent supervisory authority within 72 hours and inform you without undue delay where the law requires it.

9. Contact

For any privacy question contact our Data Protection Officer at privacy@novali.ai. Our EU representative under Article 27 GDPR can be reached at the same address.

Cookie Policy

A cookie is a small text file stored on your device; browser local storage is a similar mechanism that keeps small pieces of information in your browser. Novali AI uses a minimal set of both: those strictly necessary for the Site to work, plus optional Google Analytics cookies that are only set after you click "Accept" in the consent banner. We do not set advertising cookies.

  • firebase:authUser:* — Browser storage (not a cookie), set by Firebase Authentication (Google) only when you sign in to the expert space — keeps you signed in — Until you sign out — Essential
  • novali-language — Browser local storage (not a cookie) — remembers your language preference (EN / FR / ES) — Until cleared — Essential
  • novali-analytics-consent — Browser local storage (not a cookie) — records whether you accepted or declined analytics cookies, and the date of your choice — 6 months — Essential
  • _ga — Google Analytics cookie — distinguishes visitors; set only after you accept analytics — 13 months — Analytics (optional)
  • _ga_<ID> — Google Analytics cookie — keeps session state; set only after you accept analytics — 13 months — Analytics (optional)

1. Essential cookies and local storage

These cookies and local-storage entries are strictly necessary for the Site to function — keeping you signed in to the expert space, remembering your language preference and remembering your consent choice so the banner is not shown on every visit. Because they are strictly necessary, they do not require your consent and cannot be disabled while you use the service.

2. Analytics cookies (Google Analytics, optional)

With your consent, we use Google Analytics 4, a service provided by Google Ireland Limited and Google LLC (measurement ID G-EVRHSGSX3R), to understand which pages are visited and how features perform. The Google Analytics script is only loaded after you click "Accept" in the consent banner; it then sets the _ga cookie (distinguishes visitors, 13 months) and the _ga_<ID> cookie (keeps session state, 13 months). Your consent covers audience measurement only: no advertising or personalisation signals are enabled. The data collected is kept by Google for 14 months. If you decline, the script is not loaded and no analytics cookie is set.

3. Third-party cookies

Apart from the Google Analytics cookies described above, which are set by the Google Analytics script only with your consent, the Site does not use advertising or other third-party tracking cookies. Newsletter sign-ups are sent to Mailchimp (Intuit Inc.) through a simple form submission: no Mailchimp script or cookie is loaded on the Site. The demo calendar on the contact page is provided by Calendly LLC (USA): it is only loaded when you choose to show it, and Calendly then sets its own cookies inside it, as its privacy notice describes (calendly.com/legal/privacy-notice). If we add another embedded service that requires a third-party cookie, this policy is updated and you are asked before it loads.

4. Managing cookies

You can change or withdraw your consent at any time via the "Cookie settings" link in the site footer, which reopens the consent banner. If you decline or withdraw consent, the Google Analytics script is not loaded and the _ga and _ga_<ID> cookies are deleted. Declining or withdrawing consent has no effect on your access to the Site. Your choice is kept for 6 months, after which the banner asks you again. You can also clear or block cookies and local storage through your browser settings; disabling essential cookies prevents you from signing in.
